Approval Management

Configurable Approval Life Cycles in LabWare LIMS.

Businesses need the ability to approve important LIMS records using a flexible review and approval mechanism that can enforce a specific business process such as routing the approval to multiple individuals within the company and perhaps ensuring that all approvals occur in a prescribed order.  Recognizing this need, LabWare introduced a general purpose Approval Management facility that allows any record in the LIMS to be reviewed and approved using a flexible and configurable life cycle mechanism.

Once a record has been fully authored or revised in LabWare LIMS, you can specify that the record is "Ready for Approval".  This informs LIMS to route the record to the first level of review and approval.  A reviewer can either be a specific individual or a group of individuals, such as a particular User Role in LIMS. The intended reviewer receives a notification in LIMS or by email that the record is pending their review.  LabWare provides the Approval Manager window shown below where you can see all of the pending records requiring approval.

The approval process continues until either the record is rejected and sent back to the originating author or the record completes the approval cycle.  At each step in the approval process when an individual approves the record, LIMS can perform any set of automated instructions or steps such as sending an email message or producing a report.

When the record is approved, its Active flag is set to true provided that the Effective Date is not in the future.  This enables the approved version of the record to be used in LIMS.

The LabWare Approval Manager is very configurable and allows an unlimited number of approval steps and approval roles to be created for each type of record in LIMS.  There is no obligation to approve all records using this mechanism, it can be configured for specific types of LIMS records such as Analyses, Product Specifications, Stability Protocols, etc.
